General

  • Why does the VGF offer these schemes?
    We want to keep the threshold for organising international conferences in the Netherlands as low as possible. After all, we know that for every international business visitor, approximately €1,000 goes to the Dutch economy.
  • Are there really no costs involved?
    Indeed, there are really no costs involved. The pre-financing and guarantee are offered free of charge. There are no interest and/or other costs to be paid.
  • What's the catch?
    There is no catch. This service is offered completely free of charge to stimulate the Dutch economy.
  • Do we have to establish a foundation to qualify?
    We often see that a foundation is established for a conference, but this is not mandatory. Contracting can be through any legal form (private or public limited company) or legal body/organisation.

Application

  • Who can apply?
    An application is often submitted by the contracting party or by the Professional Conference Organiser (PCO).
  • What information do you need?
    We would like to form an idea of past conferences held and what the expectations are for any future conferences. We look at how the budget is structured and expected participant numbers.

Judgement

  • Who assesses the application?
    The application will initially be assessed by the director. In the event of any questions, the director will consult the board for advice.
  • How long does an assessment take?
    We aim to get back to you with a response within 5 working days.

Payout

  • When will the payment be made?
    As regards the guarantee, we pay out after the conference has ended, provided we have received the final settlement stating a negative result due to disappointing participant numbers.
  • Are we still entitled to payment in the event of force majeure?
    Yes, unlike commercial event insurance, we do pay out in the event of force majeure, provided the result is negative due to disappointing participant numbers.
  • If we raise less sponsorship money resulting in a loss, will the VGF still pay out?
    No, we only pay out if the loss can be demonstrated on account of disappointing participant numbers, not due to less sponsorship money being raised than budgeted.
